Review Queue & Review Notes
Two review tools, for two different jobs:
- Review Queue (Transactions → Review Queue, or Review Queue in the sidebar) holds transactions that a connected app or API key has sent for review instead of posting. A person approves or rejects each one.
- Review Notes (Reports → Review Notes) is an accountant's worklist: engagements, plus notes and questions tied to accounts.
Review Queue
When a connected app or an API key is set to Review first, what it sends waits in the Review Queue instead of going straight into your books. Approving it posts it exactly as a direct import would, with the same Audit Trail record.
Corrections from your own AI assistant (Claude, ChatGPT and others) don't come here. The assistant changes the original transaction after you approve it in the conversation, and you can see or undo it in Company → Activity Log (AI & Integrations). See AI assistants.
- Open Transactions → Review Queue. It shows Pending items by default; filter by status (Pending, Approved, Rejected, All) or by source, or search by reference or memo.
- Click a row to see what the item is: a description, what it moves and why, the accounts by name, and — for a correction — the original entry beside it. A warning badge means debits and credits don't balance.
- For each item:
- Approve posts it.
- Reject removes it from the pending list; you can add a Rejection note.
- Edit opens Edit Before Approval, where you can change accounts, descriptions and amounts before you approve.
- Claim marks an item as yours so others working the queue leave it alone; Release gives it back.
- For many items at once, select them and use Approve Selected, Reject Selected, or Reassign Accounts (change the account on matching lines across the selection).
Keyboard: j/k or the arrow keys move between rows, a approves, r rejects, e edits, and / jumps to search.
Review Notes
Review Notes has two tabs.
Engagements tracks each piece of work for the company: click New Engagement, give it a Name (for example "2025 Tax Return"), a Type (Review, Compilation, Audit, Tax Return, Bookkeeping, Other), who it's Assigned To, the period and Due Date, then Create Engagement. Update the status as you go: Not Started, In Progress, In Review, Complete, Archived.
Review Notes holds the notes themselves. Click New Note, choose the Engagement and Account it relates to, a Type (Comment, Question, Issue, Tick Mark, Sign-Off), a Priority (Low to Critical), your initials as Author, and the note text, then Add Note. Filter by status (Open, Resolved) or engagement, and click Resolve on a note once it's cleared.
Review notes are saved in the company file, so they travel with it.
What it needs
- Review Queue: every tier. Items arrive from connected apps (Shopify, Stripe) and API keys set to Review first; those need Professional or Accountant. See Apps & integrations.
- Review Notes: the menu item appears in Accountant Mode (Settings → Appearance → Interface Mode), which needs the Accountant tier. You can also open it from Search (Ctrl+K) with "Open Review Notes".
- Neither needs Updates & Cloud Services.
