Payment Service Agreement

v1.1.1Effective 2026-05-01· Updated 2026-10-02

Payment Service Agreement

This covers the Solid Accounting ("Solid Accounting," "we," "us," "our") Online Invoicing Portal — an optional add-on that lets your customers pay invoices online. The "Legal Details" section at the bottom has the formal terms.

What this service does

You create invoices in Solid Accounting, sync them to our portal, and your customers get a payment link. They pay through Stripe, PayPal, or Square. The payment shows up in your books automatically.

We don't process payments ourselves. We're not a bank, payment processor, or money transmitter. We connect your invoices to your payment provider. Your money goes directly from your customer to your Stripe/PayPal/Square account. We never touch, hold, or have access to your funds.

The portal can also:

  • Send payment reminders automatically
  • Handle recurring invoices on a schedule
  • Track what's been paid and what hasn't

Who can use it

You need:

  • A valid Solid Accounting license
  • An account with Stripe, PayPal, or Square (at least one)
  • Accurate business info on your invoices
  • To follow your payment provider's rules and the Acceptable Use Policy

Plans and pricing

PlanCostInvoices/monthWhat you get
Free$05Basic invoicing, one payment provider
Starter$15/mo50Multiple providers, payment reminders
Professional$39/moNo limitRecurring invoices, custom templates, webhooks
Pay-Per-Invoice$0.99 eachNo limitEverything, no monthly fee

You can switch plans anytime. Upgrades happen right away. Downgrades kick in at your next billing cycle. Paid plans auto-renew monthly; we'll email you at least 7 days before each renewal.

Currency

All invoicing portal plans are billed in US dollars (USD). Your invoices to your customers can be denominated in any currency your payment provider supports, but Solid Accounting displays amounts in USD within our portal. Multi-currency invoicing support depends on your payment provider's capabilities.

Fees — ours and theirs

We charge the plan fee above. That's it from us.

Your payment provider charges their own processing fees separately (check your provider's current pricing — rates vary by provider, country, and card type). We don't add anything on top. Those fees come out of your payment provider account, not through us.

How it works, step by step

  1. Create an invoice in Solid Accounting and sync it
  2. Your customer gets a payment link by email
  3. They pay through Stripe, PayPal, or Square
  4. We sync the payment back to Solid Accounting
  5. It shows up in your books automatically

PCI compliance

Solid Accounting does not store, process, or transmit cardholder data. All credit card processing happens directly between your customer and your payment provider (Stripe, PayPal, or Square). PCI DSS compliance is the sole responsibility of your chosen payment provider. We never see, store, or have access to credit card numbers, CVVs, or bank account details.

Recurring invoices

Scheduled and recurring invoices require an active account with an active payment provider connection. If your account lapses during the grace period, scheduled invoices are paused — not lost. When you reactivate, you can choose whether to send any missed invoices or skip them.

Email and webhook delivery

Invoice notification emails are delivered on a best-effort basis. We cannot guarantee delivery — emails may be caught by spam filters, bounce from invalid addresses, or be delayed by recipient mail servers. Webhook delivery to your systems includes automatic retry with exponential backoff, but is also best-effort. Neither email nor webhook delivery constitutes guaranteed notification of your customers.

Refund processing

If you issue a refund to your customer through the portal, the refund flows through your payment provider's systems. Solid Accounting initiates the refund request but does not process the refund itself. Your payment provider may charge refund processing fees. Solid Accounting is not responsible for refund processing fees, timing, or any refund failures at the payment provider level.

Chargebacks and disputes

If your customer disputes a charge with their bank or credit card company, that's between you and your payment provider. Solid Accounting is not involved in chargeback proceedings and is not responsible for chargeback fees, reversed payments, or losses from disputes. You handle these directly through Stripe, PayPal, or Square.

Your responsibilities

You are the merchant of record, not us. That means:

  • Invoice amounts and details must be accurate
  • You're responsible for collecting and remitting sales tax, VAT, GST, or any other applicable taxes
  • You resolve disputes with your customers directly
  • You keep your payment provider accounts active and in good standing
  • You follow the Acceptable Use Policy
  • You comply with all applicable laws, including consumer protection, anti-fraud, and anti-money laundering regulations
  • If your business requires specific licenses or permits, that's on you

Tax reporting

If you're a US-based business, you may receive 1099-K forms from your payment providers based on your transaction volume. Solid Accounting does not issue 1099-K forms — your payment providers do. You're responsible for accurate tax reporting.

Uptime

We do our best to keep the portal running, but we can't guarantee 100% uptime. We'll give you 48 hours' notice before scheduled maintenance.

If a payment link is down temporarily, your customer can try again later — no money is lost. The portal is not designed for time-critical payment processing.

Do I need annual maintenance?

No. The portal requires a valid Solid Accounting license, but the annual maintenance subscription is separate. However, desktop versions more than two major versions behind may experience sync compatibility issues with the current portal API.

What if I stop paying?

You get a 45-day grace period. During that time, existing payment links keep working, but you can't sync new invoices. Your data is safe.

After 45 days, your account is suspended. We keep your data for 90 more days, then delete it permanently. We'll email you at each milestone (billing lapse, grace period end, suspension, upcoming deletion).

Your data

Invoice data (your customers' names and email addresses, invoice contents and amounts, and payment status) is stored on our servers and sent over HTTPS. Customer names, email addresses and invoice contents are also encrypted at rest; amounts, dates and payment status are not, because we use them to track payments. See our Privacy Policy, Security Practices, and Data Processing Agreement for the full picture.

Taking your data with you

You can export all your invoice data at any time through the Solid Accounting desktop app or by requesting an export via support@solidaccounting.com. We'll provide it in CSV format within 5 business days. This right continues for 90 days after account closure.

Canceling

You can cancel anytime. When you do:

  • Active payment links stay live for 30 more days (your customers can still pay outstanding invoices)
  • Pending recurring invoices are paused and will not be sent
  • No new invoices can be synced
  • We keep your data for 90 days (you can export it)
  • After 90 days, it's permanently deleted

We might cancel your account if you break these rules, do something fraudulent or illegal, don't pay after the grace period, or get kicked off your payment provider. We'll give 30 days' notice unless it's fraud or illegal activity, in which case we may suspend immediately.

Legal Details

The sections above describe your rights in plain language. The sections below contain the formal legal terms. Where they overlap, the formal language controls.

Not a Payment Processor

Solid Accounting acts solely as a technology platform that connects your invoicing workflow with third-party payment providers. Solid Accounting is not a bank, payment processor, money transmitter, or financial services provider. Solid Accounting does not hold, receive, transmit, or have custody of any funds. All payment processing is performed by the third-party providers you select (Stripe, PayPal, Square), and your use of those providers is subject to their respective terms of service.

Disclaimer of Warranties

THE PAYMENT SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. SOLID ACCOUNTING DOES NOT WARRANT UNINTERRUPTED, TIMELY, SECURE, OR ERROR-FREE OPERATION OF THE PAYMENT SERVICE.

SOLID ACCOUNTING DOES NOT GUARANTEE THE AVAILABILITY OR PERFORMANCE OF ANY THIRD-PARTY PAYMENT PROVIDER. SOLID ACCOUNTING IS NOT RESPONSIBLE FOR ANY ERRORS, DELAYS, OR FAILURES IN PAYMENT PROCESSING BY THIRD-PARTY PROVIDERS.

Limitation of Liability

IN NO EVENT SHALL SOLID ACCOUNTING BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, PUNITIVE, OR EXEMPLARY DAMAGES ARISING FROM YOUR USE OF THE PAYMENT SERVICE, INCLUDING BUT NOT LIMITED TO LOST REVENUE, LOST PROFITS, LOSS OF BUSINESS, CHARGEBACKS, REVERSED PAYMENTS, OR DAMAGES ARISING FROM THIRD-PARTY PAYMENT PROVIDER ERRORS OR OUTAGES.

SOLID ACCOUNTING'S TOTAL CUMULATIVE LIABILITY FOR ALL CLAIMS ARISING FROM OR RELATED TO THE PAYMENT SERVICE SHALL NOT EXCEED THE TOTAL FEES PAID BY YOU FOR THE PAYMENT SERVICE IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.

Indemnification

You agree to indemnify, defend, and hold harmless Solid Accounting and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising from: (a) your use of the Payment Service; (b) invoices you create, send, or process through the service; (c) your violation of this Agreement, applicable laws, or third-party rights; (d) chargebacks, disputes, or refund claims initiated by your customers; (e) your failure to comply with tax, anti-money laundering, or other regulatory requirements; or (f) any claim by a payment provider related to your use of their services through our platform.

Dispute Resolution

Disputes arising from this Agreement are subject to the arbitration and class action waiver provisions in the EULA, which are incorporated here by reference.

Force Majeure

Solid Accounting is not liable for any failure or delay in the Payment Service due to circumstances beyond our reasonable control, including natural disasters, pandemics, government actions, internet or infrastructure failures, third-party payment provider outages, or cyberattacks.

Severability

If any provision of this Agreement is found unenforceable, that provision will be modified to the minimum extent necessary, and the remaining provisions remain in effect.

No Third-Party Beneficiaries

This Agreement is between you and Solid Accounting only. Your customers, payment providers, and other third parties have no rights under this Agreement and may not enforce any of its provisions. Your customers' rights are governed by your own terms of service with them and by their agreements with the payment providers.

Survival

The following sections survive termination: Not a Payment Processor, PCI Compliance, Disclaimer of Warranties, Limitation of Liability, Indemnification, Dispute Resolution, No Third-Party Beneficiaries, Refund Processing, and data retention obligations.

Modification

Solid Accounting may modify this Agreement by providing at least 30 days' prior notice via email. Material changes will be clearly identified. Your continued use of the Payment Service after the effective date constitutes acceptance. If you do not agree, you may cancel before the changes take effect.

Assignment

You may not assign this Agreement. Solid Accounting may assign it in connection with a merger, acquisition, or sale of all or substantially all of its assets, provided the assignee agrees to honor existing obligations.

Waiver

Our failure to enforce any provision is not a waiver of that provision or our right to enforce it later.

Entire Agreement

This Agreement, together with the EULA, Terms of Service, Privacy Policy, Acceptable Use Policy, and Data Processing Agreement (if applicable), constitutes the entire agreement between you and Solid Accounting regarding the Payment Service.

Governing Law

This Agreement is governed by the laws of the State of Delaware, without regard to conflict of laws principles.
