Acceptable Use Policy

v1.1.0Effective 2026-05-01· Updated 2026-04-22

Acceptable Use Policy

The short version: use the invoicing portal for real business invoices. Don't use it for fraud, illegal stuff, or spam.

This policy applies to the Solid Accounting ("Solid Accounting," "we," "us," "our") Online Invoicing Portal. It's part of the Payment Service Agreement — the dispute resolution and governing law provisions from that agreement and the EULA apply here too.

What the portal is for

Sending invoices to real customers for real goods and services. That includes:

  • Invoicing customers for work you've done or goods you've delivered
  • Collecting payments through Stripe, PayPal, or Square
  • Setting up recurring invoices for ongoing services
  • Sending reminders about unpaid invoices

What you can't do

No fraud or impersonation

  • Don't invoice for things you didn't provide
  • Don't fake or inflate invoices
  • Don't misrepresent who you are or what you're charging for
  • Don't impersonate another business, organization, or individual on invoices

Nothing illegal

  • No money laundering or terrorist financing
  • No payments for illegal goods or services
  • No evading sanctions, export controls, or OFAC restrictions
  • No activity that violates federal, state, local, or international law

No prohibited goods

  • Illegal drugs or controlled substances
  • Weapons (unless you're a licensed dealer following all applicable laws)
  • Counterfeit or stolen goods
  • Cryptocurrency, virtual currency, or NFT transactions (unless explicitly supported by your payment provider for your jurisdiction)
  • Anything your payment provider prohibits (check their terms — Stripe, PayPal, and Square each have their own restricted lists)

No system abuse

  • Don't try to get around your plan's invoice limits
  • Don't use bots or scripts to mass-generate invoices
  • Don't test stolen payment credentials
  • Don't try to break into our systems
  • Don't send spam or unsolicited invoices

Regulated industries

If your business operates in a regulated industry — healthcare (HIPAA), financial services (SOX, GLBA), government contracting (ITAR), or others — you are solely responsible for ensuring your use of Solid Accounting and the invoicing portal complies with applicable regulations. Solid Accounting is not HIPAA-compliant and cannot sign Business Associate Agreements (BAAs). The invoicing portal is not designed for processing Protected Health Information (PHI) or data subject to specific regulatory controls.

Geographic restrictions

The invoicing portal is available wherever Stripe, PayPal, and Square operate. Some countries are excluded due to US sanctions (OFAC), payment provider limitations, or local regulations. If your payment provider doesn't support your country, you won't be able to use the portal for payment collection in that region.

Invoice limits

  • Free: 5 invoices/month
  • Starter: 50/month
  • Professional: No limit
  • Pay-Per-Invoice: No limit (subject to abuse monitoring)

Go over your limit and extra invoices queue up until next month or until you upgrade.

Pay-Per-Invoice abuse monitoring

To protect the platform, we monitor Pay-Per-Invoice accounts for unusual patterns:

  • Velocity limits: More than 100 invoices per hour triggers automatic review
  • Pattern detection: Unusual invoice patterns (e.g., hundreds of $0.01 invoices, identical invoices to the same recipient) are flagged for manual review
  • Review process: Flagged accounts are reviewed within 2 business days. We'll contact you before taking action unless the activity appears fraudulent

AI features — don't

Solid Accounting's AI extraction and correction-contribution features are meant to help you work with data you already have rights to. Don't use them for:

  • Extracting data from PDFs you don't have legal rights to access (leaked reports, competitor data obtained without authorization, stolen exports)
  • Submitting training contributions containing data that was obtained unlawfully or in breach of confidentiality obligations
  • Attempting to reverse-engineer or exfiltrate the bundled AI model or fine-tuned adapters in a way that violates their respective licenses (Qwen3.5 is Apache 2.0; our fine-tuned adapters are proprietary but licensed to you for in-app use)
  • Prompt-injection attacks or attempts to make the model produce outputs that violate any other term of our EULA or ToS
  • Using the Training Contribution feature from outside the United States. The opt-in is gated to US customers; attempting to bypass the geo-check (e.g. via VPN) terminates the contribution license retroactively

Accountant-tier firms contributing training data on client books additionally warrant that the client has authorized the contribution (either via engagement letter or explicit opt-in).

Keep it professional

Everything you send through the portal — invoice descriptions, emails, messages — should be professional. No harassment, threats, discrimination, malicious links, or misleading content.

By using the portal, you grant Solid Accounting a limited license to process, display, transmit, store, and sublicense (solely to our sub-processors as needed to deliver the service) your invoice content for the purpose of providing the service. We don't claim any ownership of your content.

What happens if you break the rules

We take a graduated approach:

  1. First offense (minor) — We'll let you know and ask you to fix it
  2. Repeated or moderate violations — Temporary suspension (up to 30 days) while we investigate
  3. Serious violations — Permanent termination

For fraud or illegal activity, we may suspend your account immediately without warning.

During suspension

While your account is suspended, your existing data is preserved but not accessible through the portal. Active payment links are disabled. You may still request a data export by emailing support@solidaccounting.com. Your desktop software and local data are not affected by portal suspensions.

Law enforcement

We may cooperate with law enforcement agencies and comply with lawful requests for information (subpoenas, court orders, etc.) related to suspected illegal activity on our platform. We'll notify you if legally permitted to do so.

Think we got it wrong?

Email legal@solidaccounting.com within 30 days of receiving our enforcement notice. We'll review and respond within 10 business days.

See someone misusing the portal? Email abuse@solidaccounting.com. Anonymous reports are fine. We investigate all reports.

Changes

If we update this policy, we'll email you 30 days before material changes take effect.
